Supply Chain Assistant (Re-order)

Role Purpose:

1/Responsible for maintaining the Supplier Receiving Schedule to ensure that goods are booked into Ambient, Chill Frozen and BWS warehouses in accordance with stock holding requirements and to ensure supplier conformance standards are adhered to.

2/Provide operational support to the Supply Chain re-order team on an on-going basis.

Key Activities

  • Build strong internal working relationships with the warehouse administration, warehouse operations & rest of Supply Chain team
  • Build strong working relationships with Suppliers & Hauliers.
  • Work closely with other internal departments such as Trading / Customer Services / Sales and Finance to achieve departmental objectives.

Supplier Bookings

Key Activities

  • Provide Suppliers with booking slots for delivery.
  • Ensure that purchase orders are ready for the warehouse on a daily basis.
  • Verify that purchase orders are closed off on a daily basis and deal with related queries.
  • Act as a channel of communication between MRPNI and the warehouse on any relevant issues.
  • Data Entry of all inbound booking information.
  • Ensure bookings are managed within the agreed depot capacities; linkage with the warehouse planning function is critical to achieving this.
  • Ensure that goods-in volumes booked do not exceed 95% of warehouse stockholding capacity.
  • Co-ordinate any movement of stock between depot and outside warehousing.
  • Ensure that where there is a potential capacity issue, it is flagged, and any inbound volume is prioritised effectively with the supply chain and operations teams.
  • Ensure any changes to the booking of orders is agreed in advance with Supply Chain.
  • Manage and monitor compliance of the fixed booking schedule and ensure any changes to the schedule are agreed with Re-order buyers and communicated to suppliers and they comply with agreed booking times.
  • Work with warehouse planning /operations manager to ensure the balance between full load and breakdown loads is distributed across the goods in day.
  • Work on own initiative to foresee any issues with warehouse capacity and escalate accordingly.

Management of Supplier Non-Conformance

Key Activities

  • Deal with Supplier queries on delays, late deliveries and non-adherence.
  • Process any non-conformance sheets.
  • Ensure that supplier code of conduct “Working with Supplier” is adhered to.
  • Liaise with Re-Order Buyers on issues such as Supplier shortage/non-conformance.
  • Develop / maintain a Supplier – Haulier database and catalogue of conformance issues.
  • Assist new Suppliers understand the conformance process.
  • Communicate internal warehouse delays to Suppliers.


Key Activities

  • Categorise Suppler returns (Overage / Wrong product) (Quality) (Date) (Damage) (Recall / Store Uplift).
  • Provision and communication of an accurate list of returns to Suppliers
  • Co-ordinate the return of product with the warehouse and supply chain.
  • Ensure the timely collection of returns by Suppliers.

Reorder Support

Key Activities

  • Produce Supply Chain performance reports on a daily / weekly basis.
  • Providing support for the Re-Order Buyers and Supply Chain Controller on an on-going basis as and when required.
  • On-going training on all tasks processes associated with Re-Order Buyer role.
  • Liaise with re-order buyers on an on-going basis to manage and prioritise intake of goods across all streams.
  • Provide weekend / chill re-order cover on a rota basis.
  • Provide support to MWP Re-Order team based in Duncrue as required.


The ideal candidate will have/be:

Essential Qualifications, Knowledge & Experience

5 GCSEs (or equivalent) to include English & Maths at Grade C or above with 2 - 3 years’ experience working in a similar role within the FMCG sector OR alternatively where an applicant has no formal qualifications, a minimum of 5 years’ previous experience in a similar role would be considered.

Working knowledge of Microsoft Excel to Intermediate level or above.

Working knowledge of inventory management, warehouse operations and stock replenishment.
